Advancement Assistant

Position Overview:

Lifeworks Advancement Department is seeking a full-time Advancement Assistant to work closely with the marketing & communications and fundraising teams, as well as various senior executives of the organization to ensure the efficient and customer-focused execution of departmental standards.

Responsibilities:

-Administer department database, including: donation and pledge entry, mailing list coordination, updating donor records, and general maintenance to retain data integrity.
-Assist with volunteer inquiries, activities, and onboarding in collaboration with program leaders.
-Track agency sponsorships and memberships, arranging and occasionally attending events as a representative of Lifeworks.
-Contribute to a high level of donor stewardship by sending tax receipts, donor thank you letters, funding impact reports, and connecting with donors regarding making gifts, honoring pledge payments, other correspondence on behalf of the organization.
-Assist with the planning and execution of organization events.
-Maintain department and organizational documents: organization’s photos, printed materials, advertising, and other media repositories and archives.
-Maintain departmental policies and procedures; scheduling cadence of annual review; and tracking changes appropriately.
-Assist Advancement team members with the scheduling and organization of donor meetings, photo and video shoots, and stakeholder interviews.
-Maintain grant records and the grant calendar, including due dates for proposals, reports, and follow-up.
-Define great performance for self and seek to continually develop skills to improve performances Follow safety procedures and assist in identifying safety needs for self and others. Contribute to the organization’s mission by complying with policies and procedures, using resources wisely and performing other duties as assigned as necessary.

-Strong verbal and written communication skills
-Develops and maintains strong, genuine, mutually beneficial relationships with people of varying styles.
-Demonstrated excellence in database management and data queries
-Attentive to details, deadlines, quick turnarounds, and neat presentations
-Creative problem-solver; excellent interpersonal skills (communicate openly internally, with vendors, customers, partners, etc.)
-Ability to manage multiple responsibilities in a fast-paced dynamic work environment
-Ability to work in an independent, unstructured, self-organizing environment
-Proven ability in problem solving, presentation, communication, and organizational skills

Qualifications:

-Minimum of five years of combined experience and education
-Bachelor’s degree preferred
-Experience with nonprofit fundraising and marketing preferred, either through work or volunteer experience
-Highly proficient in all Microsoft Office Suite software
-Must pass both a background study and a physical examination indicating ability to perform the demands of the job
-Have a valid driver’s license, clean driving record and reliable transportation to use for work driving purposes
