The Development & Communications department ambitiously advances the work of the American Refugee Committee by actively engaging donors, supporters, and partners in a way that is meaningful to them and promotes refugees worldwide. The purpose of the organization is to be transformative in the lives of the people it touches – including all supporters. Engagement staff works with supporters and potential partners to make their work with the American Refugee Committee meaningful and to empower them to organize and act using their own individual agency.

Team members actively work to expand numbers of supporters and partners, promote the organization’s purpose, raise the agency profile, raise critical unrestricted annual funds, and raise strategic restricted funds.

Operating from a place of generosity and goodwill to all who contact ARC, the Donor Services team responds to inquiries and requests in a friendly and timely manner, recognizing the donor as the customer. PRIMARY PURPOSE OF THE POSITION: WHAT WE NEED. WHAT YOU OFFER. WHERE IT CLICKS.

The Data Operations Administrator position seeks someone with a natural curiosity, one who’s always learning – not just the process but the system and reasoning behind it. At first it’s a deep dive into understanding the software – how Raiser’s Edge works and how we use it. As you learn and absorb, you’ll be processing donation and customer data, responding to customer service requests, understanding system requirements, and learning the nuances of daily work. You’ll become a super user, training volunteers and staff on the aspects of the system they need as well as writing procedure manuals and creating efficient systems that keep the department running. Ultimately, you’ll be positioned to providing insight from data to the team, making and influencing organizational decisions. This position allows for expansion and growth as knowledge and understanding deepens through data management skills.

You are accurate to a fault. A misspelled name grates like nails on a chalkboard. You recognize the value of quality control in processes, but also know how to guide colleagues to keep all work donor-centered.

You build calendars of accountability – data entry daily, reviewing weekly, analyzing monthly. You ensure all internal processes run smoothly to better serve supporters and the organization at large.

You are a team player. You recognize that this job requires more head-down work than most, and you relish the time to dig in deeper. But you also appreciate taking an active role in meetings to iterate ideas, prototype concepts, and recommend change.

MAJOR AREAS OF ACCOUNTABILITY – PRIMARY DUTIES/RESPONSIBILITIES

DONORS ARE KEY: GIFT PROCESSING AND ACKNOWLEDGEMENT

Donors are treated as our customers throughout all engagements with ARC, and this position is integral to keeping a customer lens into all aspects of the data process. Humanize the transaction process by recording donor requests and adding personal touches whenever possible. Tasks include:

Process donations daily in the Raiser’s Edge donor database
Acknowledge donors for their gifts. Prepare and send receipts via mail or email as appropriate
Track all monthly donors and renew gifts as their membership lapses
Be available at all times for donor calls and requests. Must be able to set aside current tasks to respond to donor phone calls in a prompt, friendly manner

GARBAGE IN, GARBAGE OUT : DATA MANAGEMENT

Information maintained in the Raiser’s Edge CRM database is only as good as what goes in. You assist by watching data entry and creating guides to identify when things are missed, and work with colleagues to create efficient systems to capture data and reflect donor intent. Tasks include:

Run quality control reports to monitor the accuracy of data entered into the system.
Work with the Director of Development to maintain data consistency and ensure that records are accurate
Create donor contact lists for direct mail pieces, events, acknowledgements and fulfillment
Track event registration data and provide analytics on event performance
Provide donor giving reports and analysis in a timely manner when requested
Work with department to confirm that donor interactions are being recorded properly and promptly. Enter donor actions and other relevant donor information for self and other staff
FOLLOW THE MONEY: FINANCIAL OVERSIGHT AND ADMINISTRATION

Financial oversight and accountability is integral to ARC’s work. You oversee daily and monthly financial reconciliation with key team members, ensuring financial records are accurate and adjusting entries as necessary to reflect donor intent. Recognizing that every dollar processed represents a transformative gift to ARC, you maintain impeccable records and provide financial details when requested. Tasks include:

Run regular database reports to reconcile gift income with finance department
Review daily mail deposits, catalog donations and send them to the bank for processing
Manage financial reconciliation monthly. This includes downloading reports from merchant accounts, matching deposits to monthly bank statements, and resolving discrepancies between Development and Finance totals
MAINTAIN COMPLIANCE: CHARITABLE REGISTRATIONS

ARC is a global organization and recognizes the value of supporters locally, nationally and internationally. You provide oversight with external vendors to ensure timely, accurate registrations. You track the timing of application deadlines, know whose signatures are needed, and provide information for registration compliance. Tasks include:

Ensure that the American Refugee Committee is registered as a fundraiser in all 50 states
Coordinate with executive department and other team members to submit reports to charity review organizations
Maintain all documents for International Humanitarian City office in Dubai and submit annual renewals for lease and license when needed

WE’RE ALL IN THIS TOGETHER: TEAM SUPPORT

All staff members are required to support one another. From large events like the Changemakers Ball, to small scale projects the crop up unexpectedly, everyone assumes tasks and responsibilities as required.

As much as possible, Development and Communications staff are asked to work directly with donors and volunteers. Everyone should make time to attend events, engage volunteers, and personally reach out to supporters.
EDUCATION, TECHNICAL SKILLS & KNOWLEDGE REQUIRED

At least 3 years’ experience in relevant role
Excellent organizational skills: the ability to work productively in a fast-paced environment + the ability to handle multiple tasks simultaneously
Database experience required; Raiser’s Edge database experience desired
Detail oriented: consistently strives for accuracy
Experience creating, modifying, and enforcing data management procedures
Working knowledge of Finance systems and ability to create and execute reports
Proficient on PC systems, including Microsoft Word, Excel, and Windows Outlook
Bachelor’s Degree in relevant field
