Executive Assistant, Development

Under immediate supervision of the Vice President of Development, the Executive Assistant provides high-level administrative support for the Executive Vice President/Chief Development Officer and the Vice President of Development, all in a donor-centered fundraising environment for both the 501c3 and 501c4 entities.


Administrative Support:
• Provide high-level administrative and logistical support to the Executive Vice President/Chief Development Officer and Vice President of Development
• Coordinate scheduling, rosters, logistics, and communication
• Coordinate special projects and meetings
• Use Raiser’s Edge NXT to track and report on donor activity for the EVP, VP and the CEO
• Work closely with CEO’s office to coordinate CEO efforts in major gift and development work
• Provide support for major gift work including donor calls, travel arrangements, and preparation of donor profiles and other visit materials

Special Campaign Support:
• Provide high-level administrative and logistical support around our comprehensive Campaign
• Organize committee meetings and provide logistical support
• Work with Development Operations to run and update all reports regarding the Campaign

Department Support:
• Provide support to the Development department as needed
• Assist with department activities and events as needed
• Coordinate scheduling for department team meetings
• Oversee Development volunteer committee including tracking volunteer hours
• Process department’s monthly expenses
• Answer and triage occasional calls from donors and prospective donors

Work Hours:
Full-Time, 40 hours per week. This position is eligible for a comprehensive benefits package, including medical, dental, vision, flex plans, long-term disability, life insurance, PTO, and 403(b) retirement plan.


Minimum Qualifications:
• Experience providing support to high-level executives and multiple staff members
• Two-year college degree or equivalent work experience

Desired Qualifications:
• Fundraising experience
• Raiser’s Edge or other development database experience
• Successful track record working with volunteers
• Knowledge, Skills and Abilities
• Ability to successfully prioritize and manage numerous tasks in a fast-paced environment
• Excellent organizational skills
• Knowledge of Microsoft office
• Ability to generate professional-quality correspondence and other documents using Microsoft Word and Excel
• Excellent verbal and written communication skills
• Attention to detail is imperative
• Ability to work independently and as part of a team
• Ability to deal sensitively with confidential information
• Ability to work with customers from diverse backgrounds and create a positive environment that demonstrates PPMNS’ commitment to diversity
• Willingness to work with volunteers
