Join our team as an Events Specialist to help support the Science Museum of Minnesota’s strategic development goals through effective leadership in creating, planning, executing and evaluating special events for SMM donors, partners and stakeholders. This role performs with a high level of professionalism, with the ability to handle multiple events simultaneously while maintaining effective communication with staff, volunteers, donors and external vendors and community partners regarding events. Special events include but are not limited to the Annual Dinner, Opening Events and giving circle events that involve creating strategy, planning & execution, donor relations and vendor relations.

Position Responsibilities:

• Plans, coordinates and organizes Development events ensuring a warm, friendly, and welcoming atmosphere for all event participants and guests.
• Manage communication to ensure consistent, coherent, and effective messaging to promote the positive positioning of the museum.
• Able to be balanced and informed depending on situations and change style to successfully suit circumstances and to ensure a positive event experience.
• Know how to get things done both through formal channels and informal networks, understands origins and reasons for procedures.

Primary Job Duties:

• Sets event strategy in conjunction with Individual Giving team to achieve successful outcomes for events and donor relations.
• Coordinates with development division, to create events that meet goals and objectives for meaningful donor engagement opportunities.
• Comes up with new and unique and interesting ideas to engage donors.
• Coordinates workflows in order to meet event outcomes efficiently and effectively.
• Supervises events, prioritizes tasks, and initiates strategy change as needed to successfully fulfill deadlines and departmental needs and to increase client satisfaction.
• Coordinates donor events which involves decision making, managing event processes, coordinating meetings, preparing, monitoring and maintaining event budgets.
• In partnership with the development team participates in meetings and events with clients, donors and vendor that occur outside of the museum premise.
• Maintains clear and effective communication with development team, business partners, subject matter experts and clients as related to events that results in cohesive event strategy and execution.
• Collaborates across divisions to define event schedule and to meet event goals.
• Serves as the primary contact for events, as related to communication, vendor relations, internal staff, guest.
• Manage day-of event logistics, agenda and timely communication to ensure successful program delivery.
• Provides conflict resolution during unexpected circumstances or requests with high degree of professionalism and customer service etiquette.
• Proactively engages with internal staff and external vendors to ensure expectations are successfully met.
• Effectively manages and evaluates events to ensure expectations are delivered successfully to meet goals and objectives.
• Manages events and prioritizes tasks in a clear, manageable, and achievable way resulting in efficient processes.
• Utilizes available resources to ensure accurate, timely and complete delivery of event strategy.
• Concentrates efforts on prioritizing event logistics and brings them to a satisfactory completion adhering to time constraints.
• Report data to various data bases (i.e.: Tessitura) for successful event reporting and analysis.
• Manages event budgets, including but not limited to maintaining cost control, processing purchase orders and expense reporting.
• Typical work schedule is Monday to Friday, but does require to work evenings and weekends based on development events needs and schedule.
• This position requires occasional local travel and on rare occasions out of state travel.

Preferred Qualifications:

• Bachelor’s degree or equivalent working experience in event management field.
• 3-5 years’ Professional Event Management experience in Development/Fundraising field and/or non-profit organizations.
• Certified Meeting Professional (CMP certification).
• Proven track record of working experience with upper level management (including President/CEO).
• Cultural competency and experience working with diverse communities.
• Willingness to be open and respectful of people from all backgrounds.
• Multilingual or bilingual a plus (Hmong, Somali, Spanish, ASL).
• In-depth knowledge of the Twin Cities’ philanthropic community.
