This full time position manages the Development and External Relations department operations. The Development & Events Coordinator is responsible for: management of the Raiser’s Edge database; serve as lead staff member overseeing fundraising special events; provide support of external relations activities; coordinate meeting logistics; and assist in conducting prospect research.

Manage Donor Database
• Serve as lead development staff person for Raiser’s Edge database, having a working functional knowledge of all database modules.
• Coordinate data entry functions and gift acknowledgements on a timely basis.
• Prepare all donor reports including monthly development revenue report, requests from the accounting department, queries and list pulls for all agency publications.
• Create appropriate fund codes to track responses for all appeals.
• In coordination with the Associate Director, implement database enhancements or overlays, imports, or conversions.
• Take key role in implementing a prospect identification process to ensure that steady progress is planned and measured for top rated prospects including written prospect management plans that include rating, primary contacts, planned cultivation steps, and proposed solicitation team and schedule.
• Utilize Raiser’s Edge database to manage contacts, moves and relationships and to track solicitations and cultivation strategies.
• Maintain and update e-newsletter database for electronic communications to target markets.
• Track Memorials and Tributes program.
• Complete special data analysis projects as needed
• Maintain agency database procedure manual.

Lead Staff Person for Fundraising Special Events
• In collaboration with the Director and Associate Director, this position coordinates and implements all aspects of the annual Golf, Wine & Brew celebration, the Washburn Games or other revenue-generating special events, including:
• Develop financial goals and business plan to achieve them.
• Develop and implement job descriptions for all volunteers.
• Organize and participate in committee meetings, strategy sessions, and specific tasks related to implementing special events.
• Solicit current and prospective sponsors
• Work with committees and Washburn Center Staff to secure day-of-event volunteers using corporate contacts and other community groups.
• Manage relationships with event vendors.
• Oversee peer-to-peer fundraising platforms.
• Provide all training for volunteers.
• Plan post-event evaluations by committee, volunteers and staff.
• Evaluative and implement changes to improve future events.

Work with the Associate Director to support donor communications
• Provide oversight of the database preparation; mail merges; and other prep work as required for newsletters, annual report, brochure, e-newsletters, solicitation letters or other communication materials as determined by agency
• Track results and generate reports as needed by appeal, campaign, and year-end totals.

Coordinate meetings and department opportunities
• Coordinate meeting materials, create agenda, keep rosters current, and facilitate meeting arrangements for the Development/External Relations Committee of the Board of Trustees.
• Serve as initial contact for prospective agency volunteers.
• Work in partnership with Executive Assistant to set dates and promote “Healthy Kids/Healthy Communities” tours.
• Support Trustee and staff engagement projects (ie: Starting at the Center campaigns and Board Commitment forms)

Assist with Prospect Research
• Work with Associate Director of Development and Communications to conduct prospect research for the agency following established procedures to accomplish the following:
• Maintain central database tracking system and produce individual/organization summaries.
• Monitor and maintain competitive intelligence; maintain resource library of donor lists from other similar agencies, including annual reports, and cross-match to Washburn donor database.
• Maintain periodical library, and serve as staff lead for reading, summarizing, routing, tracking, and cataloging development periodicals received by the agency.
