Development/Admissions Coordinator

Mounds Park Academy is a PreK-12 private school in Saint Paul that serves nearly 500 students from throughout the Twin Cities area. For over 35 years, Mounds Park Academy has engaged students in a rigorous college preparatory experience that is demanding, but not draining, and goes far beyond memorization. In this full-time nonexempt role, the Development/Admission Coordinator will provide support for day to day development, admission, and capital campaign operations, while providing exceptional customer service.

The position requires the ability to work both independently and collaboratively across the institution and will occasionally lead and be responsible for specific projects/events. The position requires a high level of organization, time management skills, a willingness to take initiative, and respond to time sensitive needs.

The position reports to the Director of Development yet will receive specific training and direction from all members of the Development staff and the Director of Admission.


General Responsibilities include:

Provide a variety of office support services.

Schedule appointments, meetings and room appointments, including the coordination, generation and distribution of meeting materials.

Greet and interact with visitors and telephone calls with professional demeanor and positive attitude.

Coordinate, track and assemble departmental expense reports (credit card, P.O.’s and travel forms).

Track, maintain and order office supplies.

Work Independently and use initiative to identify and assist in resolving problems both within and beyond areas of direct responsibility. Organize, record, and maintain the MPA archives and the Development storage room.

Coordinate logistical needs for daily and event visitors.

Assist in planning, scheduling and execution of numerous events of various sizes and complexities both on and off campus.

Assist Director of Admission and Director of Development with department related activities/events as needed.

Perform other duties and assume other responsibilities as requested by Head of School or as deemed necessary for safe and efficient operation of the school to fulfill the mission of Mounds Park Academy.

Complete daily gift-processing protocols for all donations; including accurate data entry.

Maintain an accurate database of donors, volunteers, program participants, and additional community members.

Coordinate logistical data flow between various admission, donor and financial systems.

Complete data entry as needed for admissions activity (inquiry, application, and enrolled student information).

Export accurate data from both Development and Admission databases on a regular basis.

Proficient in Microsoft Suite Products, specifically strong skills in Excel. Capability to learn new software applications and technologies in database management.

Exceptional written and oral communication skills.

Bachelor’s degree and/or applicable professional experience.


Experience in a relationship-based environment (i.e. fundraising, admissions, etc.).

Experience with specific admissions, school, financial and fundraising software (i.e. OnCore/OnBoard, Smart Tuition/Smart Aid, and Raiser’s Edge NXT).

This is a full-time, year-round, hourly position. Nights and weekends will be expected as needed to fulfill the requirements of the position. Daily hours are generally 7:30 a.m. – 3:30 pm with some flexibility.
